Job Title: Account Manager
Synergy Direct Marketing Solutions is excited to announce an opportunity to join our growing team as an Account Manager.
In the past four years, we’ve implemented over 3,000 Peer-to-Peer Text Message campaigns for 200+ respected nonprofits nationwide. This explosive growth reflects our commitment to delivering exceptional results and service for our partners, and now we’re expanding our team to continue meeting the demand.
We’re seeking a professional, articulate, and detail-driven Account Manager to lead and support our partners with phone-based engagement solutions, including Peer-to-Peer Texting, Broadcast Voice Messaging, Donor Conference Calls, Outbound Tele-Fundraising, and more.
Performance Objectives:
Primarily, the performance of the Account Manager is measured by:
- Growing accounts through building strong client relationships while providing creative and strategic recommendations to our clients.
- Training and developing Account Representative(s) assigned to the Account Manager’s base of clients.
- Providing innovations to improve internal processes and procedures at Synergy while also offering innovations to improve our service to our clients.
Summary of Responsibilities:
At the direction of the Vice President – Outbound, the Account Manager responsibilities will include but not be limited to:
1. Texting
- Create budget proposals for clients’ yearly texting campaigns.
- The successful development, implementation, and daily management of assigned clients’ programs, including but not limited to message development, audience selections, etc.
- Coordinate with technology partners and clients on all aspects of texting, including development (messaging, file selection, images, and landing pages), implementation (setup, cell identification, cell appending), and success of assigned clients.
- Provide results, summary reports, and strategic feedback to clients and/or consultants.
- Ensure giving information is provided by clients and/or consultants.
- Provide invoicing direction and ensure campaigns are invoiced in a timely manner to include texting cost, cell identification, and cell append when applicable.
- Build strong relationships with the client by acting as a texting SME (subject matter expert), including providing strategies to test and recommendations to maximize texting efforts.
2. Voice Broadcast
- Work with the client and/or consultant on schedule and strategy for targeted VB.
- Determine target audience.
- Create proposed messaging.
- Ensure the client has recording instructions.
- Review recordings and provide to the client for approval.
- Provide instructions to the IT team to execute VB.
- Provide results of VB to the client and/or consultants.
3. Outbound Calling
- The successful implementation and daily management of assigned clients’ programs.
- Coordinate with IT, technology partners, and the call center and fulfillment on all aspects of the day-to-day development, implementation, and success of assigned clients’ tele-fundraising projects.
- Prepare critical path and program setup form.
- Develop script and fulfillment content.
- Stationery specifications.
- Set-up reports.
- Data analysis, segmentation, and phone number search.
- Executive summary.
- Provide daily reports, feedback, and strategy to clients and/or consultants.
- Ensure fulfillment files are received, letters drop, and client updates are provided in a timely manner.
- Train communicators and work closely with call center to ensure campaign results are maximized and goals achieved. Debrief callers, monitor calls, and revise scripts as needed. Troubleshoot project and client issues.
- Build strong relationships with clients by acting as a fundraising consultant, including providing creative strategies to test and recommendations for maximizing the effective use of tele-fundraising in our client’s overall marketing mix.
4. Donor Conference Calls
- Work with the client and/or consultant on schedule and strategy for targeted call.
- Provide the client with strategic recommendations for recorded messages, agenda, and text if applicable.
- Provide platform training to clients and/or consultants.
- Coordinate with technology partners on setup and securing time and platform for call. Provide meeting details and credentials to the client and/or consultants.
- Set up conference call for implementation; provide VB instructions, data file, audios, and poll questions.
- Coordinate and set up screeners.
- Run and monitor conference call at the time of the event.
- Provide detailed reports and strategic recommendation post-conference call to clients and/or consultants.
- Provide invoicing direction and ensure calls are invoiced in a timely manner to include conference call cost, voice broadcast cost, and texting cost when applicable.
5. Miscellaneous
- Assist in training and managing Interns and Account Representatives and assessing their performance.

Job Title: Manager of Outbound Operations

Location: The position will be remote with travel required. In-person meetings will be held at 1193 Norton Ave (Unit B), Norton, OH 44203.

- Collaborate with Senior Leadership to devise and execute strategic plans, optimizing Synergy Outbound Solutions to meet business objectives.
- Spearhead innovation and continuous improvement efforts within the outbound business unit, refining processes, technologies, and methodologies.
- Cultivate collaboration with cross-functional teams and outsourced partners to align outbound solutions with overarching business goals.
- Conduct thorough monitoring and analysis of key performance metrics to gauge campaign effectiveness and pinpoint areas for optimization.
- Ensure compliance with industry regulations and best practices, both for Synergy and our partners.
Direct Roles & Responsibilities:
- Lead daily team meetings to oversee the efficient and effective execution of outbound business unit operations across the peer-to-peer texting landscape, and the outbound voicemail project log.
- Maintain a 99% on-time launch rate for client texting and voice broadcast programs.
- Maintain and oversee the accuracy, consistency, and accessibility of all process and procedure documentation by conducting regular reviews, updating as necessary, and ensuring the information is stored on the shared drive (S-drive).
- Analyze the current data practices and identify areas for improvement and implement changes to optimize data management across targeting and reporting.
- Develop and maintain relationships with external partners, vendors, and agencies to support the Outbound Business Unit.
- Ensure redundancy across all technology platforms in the Outbound Business Unit to mitigate risks.
- Manage vendor relationships to ensure adherence to program schedules and secure commitments for effective execution.
- Conduct quarterly SWOT analysis of technology partners, providing actionable insights and recommendations to Senior Leadership.
- Oversee the implementation and utilization of technologies, including CRM systems, platforms, and analytics tools that are wholly owned and or custom developed by Synergy.
- Monitor industry trends and developments to identify opportunities for innovation and improvement.
- Provide support to the Data Processing Specialist on all outbound solutions.
- Plan, Develop, and Lead client services trainings across outbound product offerings as needed.
Strategic Planning:
- Contribute to the development of the overall technology partnership strategy, including identifying new opportunities and market trends.
- Align partner initiatives with company roadmap and strategic priorities.
- Conduct market analysis to identify potential new technology partners and evaluate their suitability.

Position Overview:
The Administrative Assistant to the CEO and President will act as a key partner, ensuring the smooth execution of day-to-day operations while managing critical administrative and organizational tasks. This role requires exceptional organizational skills, proactive problem-solving, and the ability to handle sensitive matters with professionalism and discretion.
Key Responsibilities:
1. Executive Support
- Manage and maintain the CEO and President’s schedules, including meetings, appointments, and travel arrangements.
- Assist with managing email communications and prioritizing responses (if applicable).
- Prepare reports, proposals, and correspondence for internal and external use.
2. Event and Meeting Coordination
- Organize and manage events, including all-staff meetings, quarterly EOS meetings, and special occasions such as funerals, birthdays, and weddings.
- Oversee holiday cards and gifts for clients, staff, and partners.
- Coordinate sponsorship activities and ensure deadlines are met.
3. Travel and Logistics
- Schedule and book travel arrangements for the CEO, President, and other key staff members.
- Maintain detailed travel itineraries and ensure all logistics are in place.
4. Administrative and Office Management
- Manage contract renewals and liaise with internal staff and external partners as needed.
- Handle legal compliance and financial reporting tasks with external partners, ensuring all documentation is up to date.
- Coordinate all-staff communications, keeping the team informed of updates, initiatives, and events.
- Maintain confidential records and manage document storage.
5. Process Improvement
- Proactively identify opportunities to streamline operations and improve efficiency in administrative processes.
- Support special projects and other initiatives as assigned by the CEO and President.
Qualifications:
- Proven experience as an executive or administrative assistant, preferably in a fast-paced environment.
- Exceptional organizational and time-management skills with strong attention to detail.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); familiarity with project management tools is a plus.
- Professionalism and discretion when handling sensitive matters.
- Ability to manage multiple tasks simultaneously and meet deadlines.
