Position Overview:

The Vice President of Operations (VPO) at Synergy Direct Marketing Solutions is a key member of the senior leadership team, responsible for leading, optimizing, and scaling all operational functions of the organization. The VPO ensures that Synergy’s marketing campaigns and service delivery across all channels are executed efficiently, profitably, and with excellence. This role oversees multiple departments, including operations, technology, and works cross-functionally to drive client satisfaction, revenue growth, and long-term strategic success.

Primary Objectives:

  • Lead all operational functions to ensure excellence in execution and delivery.
  • Ensure Synergy’s marketing campaigns and client deliverables are executed on time and on budget.
  • Optimize internal workflows and systems for greater efficiency and scalability.
  • Enhance client outcomes through operational excellence and innovation.
  • Maximize organizational profitability through strategic planning and performance management.
  • Maintain the highest standards of quality, compliance, and data security across all services.
  • Support a culture of accountability, collaboration, and continuous improvement.
 

Key Responsibilities:

1. Operational Structure & Leadership

  • Own and continuously improve the Accountability Chart to align with growth and strategy.
  • Develop a scalable, agile operational framework to support each business unit’s success.
  • Lead the Operations, Technology, HR, and Finance teams to ensure cross-functional collaboration.
  • Collaborate with the Senior Leadership Team to implement EOS (Entrepreneurial Operating System).


2. 
Data Management & Security

  • Build and manage automated data pipelines (ETL) from Salesforce CRM, ERP, and FP&A systems.
  • Oversee the design and maintenance of a structured data warehouse for business intelligence.
  • Ensure data accuracy, security, and compliance (SOC2, TCPA, CTIA, etc.) through governance policies.
  • Oversee relationships with MSPs and ensure optimal network and systems performance.


3. 
Performance Reporting & Business Intelligence

  • Develop KPI dashboards and reports to track business, financial, and client performance.
  • Build BI dashboards for internal teams and clients across all lines of service.
  • Implement project and resource tracking tools to monitor efficiency and outcomes.


4. 
Growth Management

  • Support sales and marketing through strategic segmentation, pipeline analysis, and conversion tracking.
  • Optimize CRM (Salesforce) reporting to enhance visibility into sales performance and forecasting.
  • Integrate key performance data across all departments to drive strategic decision-making.


5. 
Financial Management

  • Establish KPIs and dashboards for campaign performance, profitability, and efficiency.
  • Work with leadership to manage budgets, pricing strategies, and forecasting.
  • Monitor campaign and vendor costs to ensure financial health and profitability.
  • Negotiate contracts with vendors, technology providers, and call center partners.
  • Identify new revenue opportunities and strategic partnerships to support growth.
 

6. Team Development & Culture

  • Build a high-performing, data-driven operations team.
  • Foster a culture of accountability, continuous learning, and operational excellence.
  • Provide mentorship and leadership development to department heads and emerging leaders.
  • Define and track team productivity and client satisfaction metrics.
 

7. Technology & Innovation

  • Research and implement cutting-edge technologies, including AI and automation tools.
  • Leverage operational technologies to improve service delivery, campaign execution, and scalability.
 

8. Risk & Compliance

  • Ensure compliance with all federal and state laws, including TCPA, CTIA, and fundraising regulations.
  • Maintain proper insurance and business registrations in all operating jurisdictions.
  • Work closely with legal partners on contracts, risk mitigation, and compliance documentation.
  • Lead contingency and crisis planning efforts to ensure business continuity.
 

Qualifications:

  • 10+ years of experience in operations leadership, preferably in marketing, fundraising, or direct response.
  • Proven track record of driving operational excellence and profitability.
  • Deep experience with data architecture, business intelligence, and technology implementation.
  • Strong understanding of compliance in regulated industries (TCPA, SOC2, etc.).
  • Experience leading cross-functional teams and driving cultural alignment.
  • Strategic thinker with exceptional problem-solving and decision-making skills.
  • Familiarity with Salesforce CRM, ETL pipelines, ERP systems, and FP&A tools.
  • Excellent interpersonal, communication, and leadership abilities.
